**In short:** To add a booking link to your email signature, open the signature settings: in Gmail, Settings, See all settings, Signature; in new Outlook for Windows, Settings, Accounts, Signatures. Add one plain line such as 'Book a 30-minute call' with the link behind it. If you own or administer your TrackHeros account, each booking link can write into a different client's calendar, so each email account can carry its own.

| Fact | Detail |
| --- | --- |
| Gmail | Settings, See all settings, Signature, then Save Changes |
| New Outlook for Windows | Settings, Accounts, Signatures |
| Wording | One line: what the call is, how long, then the link |
| Several email accounts | A signature per account, each with its own link |

Paste the link into your signature settings and give it one line of plain wording. This answer is for freelancers, consultants and recruiters who want people to book a call straight from their emails, in Gmail or Outlook. Making the link itself is covered in [how to make a 'book time with me' link](/blog/book-time-with-me-link/).

## How do you add a booking link to a Gmail signature?

On a computer, per Google's page on [creating a Gmail signature](https://support.google.com/mail/answer/8395?hl=en):

1. Open Gmail.
2. At the top right, click Settings, then See all settings.
3. In the Signature section, type your signature, including the booking line, and add the link to it.
4. At the bottom of the page, click Save Changes.

Google allows up to 10,000 characters. If you send from several addresses with "Send mail as", each address can have its own signature; pick the address from the menu above the signature box.

## How do you add one in Outlook?

In new Outlook for Windows, Microsoft's page on [creating an email signature](https://support.microsoft.com/en-us/office/add-a-signature-to-messages-8ee5d4f4-68fd-464a-a1c1-0e1c80bb27f2) gives Settings, then Accounts, then Signatures: choose the account, add a signature, name it, type it with the link, and Save. Tick the options to add it to new messages, and to replies and forwards if you want it there too. Classic Outlook and Outlook on the web keep their signatures separately, so set it in each one you use.

## What should the signature line say?

One line that says what the call is and how long it takes. People click a specific offer, not a vague one.

```text
Book a 30-minute call with me: [link]
Questions about your project? Pick a time: [link]
```

Avoid a long list of links, and avoid making the link the only way to reach you. Some people would rather reply, and [whether a booking link is rude](/answers/is-it-rude-to-send-a-booking-link/) depends partly on that.

## Which link should go in the signature?

The one for the call people most often need. If you offer several kinds of call, link your booking page, which lists them all. On TrackHeros, your links sit together on `app.trackheros.com/book/your-name` unless you mark one secret, and each also has its own address.

If you work for several clients from several email accounts, give each account's signature its own link. A TrackHeros booking link writes the appointment into the one calendar you choose for it, while checking free time across every Google and Microsoft calendar you tick. If you own or administer your TrackHeros account, as a freelancer on your own does, the link in your Client A signature can book into Client A's calendar, and the one in your own signature into yours, without either offering a time the other has taken. A member of a company account books into their own calendar only. The set-up is in [one booking link across client calendars](/blog/one-booking-link-across-client-calendars/), and the settings on the [booking links](/features/booking-links/) page.
