**In short:** Yes. TrackHeros exports the minutes of a Google Meet or Microsoft Teams meeting as a PDF from Export minutes on the meeting page, laid out in that client's template: a heading, one of five colour themes and a switch for each section, with empty sections left out. PDF minutes are on paid plans; Copy for email, which pastes the same minutes into an email, works on every plan.

| Fact | Detail |
| --- | --- |
| Download PDF | On paid plans, in the client's template and colour theme |
| Copy for email | Every plan; HTML and plain text on the clipboard |
| Colour themes | Slate, Navy, Forest, Plum, Amber |
| Headings and dates | In the notes language; Arabic reads right to left |
| Word or DOCX export | Not available |

Yes. TrackHeros exports the minutes of any Google Meet or Microsoft Teams meeting it recorded as a PDF, formatted in the template you set for that client. This answer is for freelancers and consultants who attach minutes to an email or file them with a client's project records. The minutes themselves are described on [the minutes feature page](/features/meeting-minutes/); this page covers the PDF.

## How do you export the minutes as a PDF?

Open the meeting, choose Export minutes, then Download PDF. The same panel offers Copy for email, which puts the minutes on your clipboard as HTML and plain text instead of a file.

Formal PDF minutes are on paid plans; [pricing](/pricing/) has the detail. Copy for email works on every plan. Nothing is sent anywhere by either: the file or the clipboard is yours, and the minutes reach the client only when you send them.

## What is in the PDF?

The minutes of that meeting, section by section, with any section that has nothing in it left out.

| Section | What it holds |
| ------------ | --------------------------------------------------------------------------------------- |
| Date, place | When the meeting happened and where |
| Attendees | Who was in the meeting |
| Summary | What the meeting was about and where it landed |
| Agenda | From the calendar invitation, or reconstructed from the conversation and marked as such |
| Discussion | The conversation grouped by topic |
| Decisions | What was decided, as it was stated |
| Milestones | Dated points that came up: a release, a review, a deadline |
| Action items | Task, owner and due date for each |

A meeting with no milestones has no milestones heading, rather than a heading followed by "none". Before exporting, look at the action items on the meeting page: an item whose owner did not match anyone recorded in the meeting carries a "Not an attendee" chip, and it is better to correct that before it reaches the client than after.

## How do you change how the PDF looks?

Through the client's minutes template. Each client has its own, with three parts:

- **A heading**, the line at the top of the document.
- **A colour theme**, one of five: Slate, Navy, Forest, Plum and Amber. The theme applies to the PDF.
- **A switch for every section**, so a client who only wants decisions and action items gets a one-page document, and a client who runs formal governance gets everything.

Because the template belongs to the client, a fintech client's minutes can be navy and complete while another client's are amber and two sections long, with no setting to change between exports. The template also sets whether new meetings for that client are summarised as a Project meeting or as an Interview.

## Which language is the PDF written in?

The notes language you chose for the meeting, its recurring series, the client or your account, the most specific one winning. The PDF's headings and dates follow it. Spanish minutes, for example, are headed "Acta de reunión", with action items under "Tareas" with "Responsable" and "Plazo" columns, and a meeting dated "miércoles, 21 de octubre de 2026". Arabic minutes read right to left.

If a client wants one meeting's minutes in another language after the fact, a summarised meeting's notes can be rewritten in another language and the PDF downloaded again. The nine notes languages are listed on [the languages page](/languages/).

## Can I export the minutes to Word or Google Docs?

Not as a file. There is no Word or DOCX export, and writing the minutes into a Google Doc is not available yet. For an editable copy, use Copy for email and paste the minutes into a document you edit yourself.

## When should the minutes go out as a PDF?

For formal meetings: a kickoff, a scope change, a sign-off, anything the client will file or forward to their own management. For a routine weekly call, paste the minutes into the body of the email instead, because a body gets read on a phone and an attachment gets opened once. The [follow-up email guide](/blog/follow-up-email-after-client-meeting/) has templates for both, [sending meeting notes to a client](/answers/send-meeting-notes-to-a-client/) covers the other routes, and the [minutes template guide](/blog/client-meeting-minutes-template/) explains what each section is for.
