# Can a notetaker join a Teams meeting without access to my calendar?

> For freelancers and consultants who cannot or would rather not connect a calendar, often because a client's Microsoft 365 organisation blocks outside apps: how TrackHeros sends its notetaker into a Microsoft Teams or Google Meet call from a pasted link, and what connecting a calendar adds on top.

**In short:** Yes. In TrackHeros you can paste a Microsoft Teams or Google Meet link, or the whole invitation, into Send to meeting and pick the client, and the notetaker joins that call with no calendar connected. Calendar access is what makes it automatic: with a calendar connected, every meeting carrying a link is picked up and the bot joins about two minutes before the start.

| Fact | Detail |
| --- | --- |
| Calendar needed to send the bot | No |
| What you paste | A Teams or Meet link, or the whole invitation |
| When the bot goes | Straight away, when you send it |
| Host rights needed | No; it waits in the lobby to be admitted |

A notetaker does not need your calendar to join a Microsoft Teams meeting. It needs the link. This answer is for freelancers and consultants who cannot connect a calendar, often because a client's Microsoft 365 organisation will not approve outside apps, or who would simply rather not, and still want notes from their Teams and Google Meet calls. How the bot behaves inside Teams is on [the Microsoft Teams notetaker](/features/microsoft-teams-notetaker/); what connecting calendars adds is on [every calendar in one notetaker](/features/multi-account/).

## How do I send the notetaker to a Teams meeting by link?

Open Send to meeting in TrackHeros, paste the link, choose the client and send the bot. In detail:

1. Copy the Teams join link, or copy the whole invitation text if the link is buried in it. TrackHeros finds the link inside.
2. Paste it into Send to meeting. A title is optional.
3. Choose the client the meeting belongs to. It is optional, but without one the meeting is filed under "No client" rather than with the rest of that client's history.
4. Send the bot.

The bot goes straight away, so do this when the meeting is about to start rather than the night before. It joins as a visible participant called "TrackHeros Notetaker", or whatever name you set for that client, and does not need to be the host. If the organiser's lobby settings hold guests at the door, it waits there until someone admits it. More on that in [can a notetaker join a meeting you don't host](/blog/can-a-notetaker-join-a-meeting-you-dont-host/).

## What does calendar access add?

Automation. Without a calendar, you remember every meeting and send the bot each time. With one connected:

- Every invitation carrying a Teams or Meet link becomes a meeting in TrackHeros on its own, filed under the client that account belongs to.
- The bot joins about two minutes before the start, without you doing anything.
- Reschedules and cancellations follow the invitation, and a cancelled event cancels its bot.
- Auto-join can be set per meeting, per recurring series or as your account default.
- Every connected calendar's meetings appear in one read-only calendar view.

## What does connecting a calendar actually let TrackHeros read?

The calendar, read-only, and nothing else. On Google the permissions are `openid`, your email address and `calendar.readonly`; on Microsoft, `openid`, `email`, `offline_access`, `User.Read` and `Calendars.Read`. Nothing reads mail, files or contacts, and only each account's main calendar is synced. Write access is asked for only if you later choose the calendar for a [booking link](/features/booking-links/), and only for that account. The longer argument is in [does an AI notetaker need calendar access](/blog/does-an-ai-notetaker-need-calendar-access/).

## When is pasting a link the right choice?

When connecting a calendar is not possible, or not worth it:

- **The client's organisation blocks the app.** Some Microsoft 365 organisations require an administrator to approve TrackHeros first, and TrackHeros tells you to ask your Microsoft 365 administrator. Until they do, paste links.
- **The account has no calendar.** A work account without an Exchange mailbox is refused when you connect it.
- **The meeting is on a calendar TrackHeros does not read**, such as a calendar shared with you.
- **It is a one-off** with someone whose calendar you will never see again.
- **You prefer not to grant calendar access.** That is a reasonable choice, and the bot works the same either way.

The notes are made the same way whichever way the bot arrived: transcript, summary, decisions and action items, filed under the client you picked.
