**In short:** A TrackHeros tracker is private to the person who made it, and to admins on a company account, until they share it, and it can be shared only with colleagues already assigned to that client. People it is shared with can review and edit cells. Only the creator or an admin can change its columns or which Google Meet and Microsoft Teams meetings feed it, archive it or delete it.

| Fact | Detail |
| --- | --- |
| By default | Private to its creator, and to admins on a company account |
| Shared with | Colleagues already assigned to that client only |
| Shared people can | Review changes and edit cells |
| Reads | Only meetings its creator could open |

A tracker often holds the sensitive part of a meeting: a candidate's salary expectation, a client's budget, a deal's stage. This answer is for freelancers, and for small teams on a company account, who keep trackers on client meetings from Google Meet and Microsoft Teams and want to know exactly who else can open one. The feature is on [trackers](/features/trackers/).

## Who can see a tracker?

The person who made it, and on a company account its admins, until the creator shares it. On a personal account, that means you alone.

Sharing has one limit: a tracker can be shared only with colleagues who are already assigned to the client it belongs to. It cannot be used to give someone a view into a client they are not on.

## What can someone a tracker is shared with do?

They can read the table, review changes and edit cells. Changing what the tracker is, and whether it exists, stays with its creator or an admin.

| Action | Creator or admin | People it is shared with |
| ----------------------------------------------- | ---------------- | ------------------------ |
| Open the table, search and filter it | Yes | Yes |
| Accept, correct or reject a change | Yes | Yes |
| Edit a cell, undo or restore a value | Yes | Yes |
| Change the columns or the meetings that feed it | Yes | No |
| Start a re-read of past meetings | Yes | No |
| Send a meeting to it, or attach one | Yes | No |
| Share it with someone else | Yes | No |
| Archive or delete it | Yes | No |

## Which meetings can a tracker read?

Only meetings its creator could open. On a company account, where colleagues do not all see the same meetings, a tracker cannot be used to collect values from calls its creator had no access to.

Every tracker also belongs to one client's sealed workspace and reads that client's meetings only. A tracker set up for all your clients is a separate table per client, with every row labelled; see [can one meeting tracker cover all my clients?](/answers/track-across-all-my-clients/)

## Does the assistant show my trackers to anyone else?

No. The assistant reads only the trackers the person asking can see, which are the same ones their Trackers page lists.

A colleague who asks the assistant about a client's candidates gets answers only from trackers they can see, so a tracker you have not shared stays out of their answers.

## Can anyone outside my account see a tracker?

No. There are no share links and no public view of a tracker. If a client should see the table, download it as a CSV file and send it yourself; [pricing](/pricing/) says which plans include export.

A tracker's data is deleted with the tracker, with its client, or with your account; [what happens to trackers when you delete a client](/answers/what-happens-to-trackers-when-you-delete-a-client/) has the detail. How each client is kept apart is on [client isolation](/features/client-isolation/).
