# How to make a 'book time with me' link in Google Calendar or Outlook

> For freelancers and consultants who want people to book a call without the back-and-forth: what a 'book time with me' link is, how to make one with Google Calendar's appointment schedules or Outlook's Bookings with me, what each one checks before it offers a time, where to put the link, and how to make one link that checks Google and Microsoft calendars together.

**In short:** A 'book time with me' link opens a page of your free times; someone picks a slot and the meeting lands in your calendar. Google Calendar makes one from Create, then Appointment schedule. Outlook makes one with Bookings with me, which needs a Microsoft Bookings licence. Each checks calendars in its own account. TrackHeros booking links check Google and Microsoft calendars together, across clients.

| Fact | Detail |
| --- | --- |
| Google Calendar | Create, then Appointment schedule, on a computer |
| Outlook | Bookings with me; the organiser needs a Bookings licence |
| What each one checks | Calendars in the account it belongs to |
| TrackHeros booking links | Google and Microsoft calendars together, across clients |

A "book time with me" link replaces the email thread that starts with "when are you free?". This guide is for freelancers, consultants and anyone who books calls with people outside their own company. It covers what the link is, how to make one in Google Calendar and in Outlook, what each one checks before it offers a time, where to put it, and what to do when your diary is spread over more than one calendar. The Google and Microsoft details come from their own help pages as of October 2026.

## What is a 'book time with me' link?

A web address that opens a page of the times you are free. The other person picks one, fills in a short form, and the meeting is added to your calendar, usually with a video link and an invitation for both of you. It goes by several names: booking link, booking page, scheduling link, appointment schedule.

Every version does three things. It reads your calendar to find busy time, applies your rules (hours, length, notice), and writes the booking back. What separates one from another is the first step: which calendars it reads.

## How do you make a booking link in Google Calendar?

With an appointment schedule. Google's page on [creating an appointment schedule](https://support.google.com/calendar/answer/10729749?hl=en) says you need a personal Google account or a Workspace account, and that you cannot create one in the Calendar app for Android, iPhone or iPad. On a computer:

1. Open Google Calendar.
2. At the top left, click Create, then Appointment schedule.
3. Set the appointment length and your general availability.
4. Click Next, set up the booking page, and click Save.
5. Copy the booking page link from the schedule and share it.

The settings Google lists include a scheduling window, adjusted hours for particular dates, buffer time, a maximum number of bookings per day, booking form questions, and up to five reminders. Google also says that some appointment schedule features need an eligible Google Workspace or Google One subscription.

The setting that decides whether the link double-books you is Check calendars for availability. Google's page on [checking availability across calendars](https://support.google.com/calendar/answer/16287054?hl=en) says it can cover your primary calendar and any calendars you own, manage or are subscribed to, and that checking secondary calendars needs an eligible Google Workspace or Google One plan.

## How do you make a booking link in Outlook or Microsoft 365?

With Bookings with me, Outlook's personal booking page, which Microsoft also calls Personal Bookings. Microsoft's [Personal Bookings FAQ](https://learn.microsoft.com/en-us/microsoft-365/bookings/personal-bookings-faq) says you reach it at book.ms, or through the Bookings app added to Outlook or Teams, and that the page is already published with two meeting types, 15 and 30 minutes, which you can edit or add to.

What the FAQ says about it:

| Question | Microsoft's answer |
| ------------------------ | ------------------------------------------------------------------------------------ |
| Who can create one | An organiser with a Bookings licence |
| Who can book | Anyone with the link, without a licence or a Microsoft account |
| Which calendar it uses | It integrates with your Outlook calendar, and bookings are added to it |
| What kind of meeting | One-to-one only; Microsoft Bookings itself is for scheduling a group of people |
| Public and private types | Public types appear on your page; private ones have their own links, even single-use |
| Reminders | Email reminders to you and the person booking |
| Sharing | By email, by copying the link, or in your email signature |

If you search for a "Microsoft booking link", this is usually what you want: Microsoft Bookings is the version for a team's shared booking page, and Bookings with me is the one for your own diary.

## What does a booking link check before it offers a time?

Usually only the calendars in the account it belongs to. Google's appointment schedules check your primary calendar and the calendars you own, manage or subscribe to, with secondary calendars needing an eligible plan, and Bookings with me works from your Outlook calendar. Neither help page describes reading a calendar held with the other company.

That is fine if your whole diary lives in one account. It stops being fine when:

- a client gave you a Microsoft 365 account and you run your own diary in Gmail;
- you hold two Google accounts, one of them issued by a client;
- a client's calendar holds the standup you must attend, and your booking link knows nothing about it.

In each case the link offers times that are free in one calendar and busy in another, and someone books over a meeting you cannot move. The workarounds are to copy busy blocks across by hand, or to share or subscribe one calendar into the other where both sides allow it. A client's administrator may block external sharing, and a calendar subscribed by its iCal address is refreshed on the provider's schedule, not the moment it changes. The short answer to [whether one booking link can check a Google and an Outlook calendar at once](/answers/booking-link-google-and-outlook-calendars/) is yes, with a tool that connects to both.

## How do you make one booking link that checks every calendar?

Use a booking tool that connects to each calendar account on its own. TrackHeros booking links check busy time on every Google and Microsoft calendar you tick, across all your clients, and write the appointment into the one calendar you choose for that link, with an invitation (or, if you prefer, a private event and an email) and, where the calendar allows, a Google Meet or Teams link. The person booking sees open times and nothing else.

The details that matter:

- **Which events block time.** Each account's main calendar is checked. Google events marked free, and Outlook events shown as free or working elsewhere, do not block.
- **When a calendar cannot be read.** The page offers no times and you get an alert, rather than times that might clash.
- **Video links.** Google Meet from a Google calendar; Teams only from a Microsoft 365 work or school calendar, because a personal Outlook.com calendar cannot create Teams meetings for apps. See [whether a booking link adds a Meet or Teams link](/answers/booking-link-adds-meet-or-teams-link/).
- **What the visitor sees.** Times in their own time zone, unless you lock the page to yours, on a page in English, French, Spanish or Arabic.

Every TrackHeros plan includes booking links; how many can be live at once is on [pricing](/pricing/). The set-up for a freelancer with several clients is in [one booking link across client calendars](/blog/one-booking-link-across-client-calendars/), and every setting is on the [booking links](/features/booking-links/) page.

## Where should you put your booking link?

Wherever someone is about to ask when you are free.

- **Your email signature**, with one plain line: "Book a 30-minute call: [link]".
- **The reply to "when suits you?"**, with two suggested times as well, for people who would rather choose by email.
- **Your proposal or quote**, beside the next step.
- **Your website's contact page** and your professional profiles.

Leave it out of a first message to someone senior you have never worked with. Offer times instead, and keep the link as the alternative.

## What settings should a 'book time with me' link have?

Short enough to say yes to, with room around it. A sensible start is 30 minutes, ten to fifteen minutes' buffer after calls that create work, a few hours' to a day's notice, a daily limit of two to four, and a booking window of two to four weeks. The reasoning, setting by setting, is in [booking link buffers and notice](/blog/booking-link-buffers-and-notice/).

Make one link per kind of call, such as an introductory call and a weekly check-in, each with its own length and questions. Then open each page in a private browser window and check what a stranger sees before the link goes anywhere.

## Frequently asked

**Is a Google Calendar booking page free?**

Google says you can create an appointment schedule with a personal Google account or a Workspace account, and that some features need an eligible Google Workspace or Google One subscription. Checking secondary calendars for conflicts is one of them. Check Google's own comparison before relying on a feature.

**Do I need a licence to make a Microsoft booking link?**

For Bookings with me, yes. Microsoft's Personal Bookings FAQ says the organiser needs a Bookings licence, while the people booking need neither a licence nor a Microsoft account. If Bookings with me does not appear for you, your plan or your administrator has not made it available.

**Can people see my calendar through a booking link?**

They should see only the times on offer, not what fills the rest of the day. Open the page in a private browser window before you share it. A TrackHeros booking page shows open times only, never event titles, attendees, busy blocks or which calendars were checked.

**Should I send my booking link to someone I have never worked with?**

If they asked when you are free, yes; it saves several emails. If you are approaching someone senior for the first time, offer two or three times in the email and add the link as an alternative, so you are not handing them the job of scheduling.
