Answer

Can I attach a meeting tracker to a meeting that has not happened yet?

For anyone who knows before a Google Meet or Microsoft Teams call that it belongs in a table: how to attach a TrackHeros tracker to an upcoming meeting, how to start a new tracker from that meeting, when the table is filled, how attaching differs from choosing a recurring meeting or a title filter, and what to do if you forget.

A tracker in TrackHeros is a table that fills itself from your meetings, and you can decide which table a meeting belongs in before it starts. The requirements workshop next Thursday, a vendor demo, a candidate's final interview: attach the tracker now, and the meeting fills it once it is over. This answer is for anyone planning their Google Meet and Microsoft Teams calls who already knows what they want out of one. TrackHeros is an AI meeting notetaker that connects every Google and Microsoft calendar you hold, recognises close to 100 spoken languages on its own, writes the notes in nine of them, and keeps every client's notes in a sealed workspace of its own. The feature is on trackers.

How do I attach a tracker before the meeting?

Open the upcoming meeting in TrackHeros, from the meeting list or the calendar, and attach one of that client's trackers; attaching is for a tracker's creator or an admin. If the right table does not exist yet, start a new tracker for this meeting: the editor opens with the meeting already chosen, and you pick a template, describe what you want in a sentence, or start blank. Whether your plan includes the last two is on pricing.

A meeting appears in TrackHeros once your calendar sync has found it with a Meet or Teams link, which covers about two months ahead. The unified calendar shows them across every client, and attaching a tracker before the meeting walks through a full example.

When does the tracker fill in?

After the meeting, never during it. The notetaker joins and records the call, the notes are written, and then TrackHeros reads the meeting and fills or updates the table. A meeting held in another language, or switching between two, is read after its audio pass, so it is read once. Very short meetings are skipped.

Unless the tracker applies confident values on its own, what the meeting gives it waits for review, and the person who made the tracker gets an alert in the app. The meeting's page also gains a "What changed" panel listing what it gave each tracker. Why a tracker value waits for review covers that step.

Why attach a meeting instead of changing the tracker's scope?

Because some meetings are one-offs that no rule would catch. A tracker's scope decides which meetings feed it, and attaching is one of five choices:

Scope Suits
All your clients One definition with a separate table for each client
One client, optionally by title word Every meeting of a client, or those titled "interview"
Chosen recurring meetings The Monday standup with one client
Specific meetings, chosen beforehand A workshop, a demo, a final interview with an unusual title
By hand only Meetings you send yourself once they are over

An attached meeting is read even when its title would slip past a title filter. For a meeting that repeats, choose the series instead, so every occurrence feeds the table without attaching each one; tracking a recurring client meeting shows how.

What if the meeting moves or never happens?

A meeting moved in the calendar is the same meeting in TrackHeros, updated by the sync, so the tracker stays attached. If the invitation is deleted and sent again instead, that is a new meeting, and the tracker has to be attached to it again. A meeting that is cancelled, or one the notetaker never recorded, has nothing to read, and the table is left as it was; the tracker's list of chosen meetings marks a cancelled one as cancelled, and one the notetaker could not get into as missed. Trackers only read recorded meetings with notes.

What if I forget to attach it?

Send it afterwards. On a finished meeting's page, the tracker's creator or an admin can send the meeting to it, and it is read the same way, whatever the tracker's scope says. For a run of meetings already held, Check past meetings on the tracker's page reads the recent ones in scope, as does a tracker read old meetings explains.
