Answer

Can I connect a personal Outlook.com calendar to an AI notetaker?

For freelancers and consultants whose client meetings arrive in a personal Outlook.com or Hotmail account, or in a Microsoft 365 work or school account: whether TrackHeros can connect it, what permission it asks for, where a personal calendar should go, and what to do when a work organisation will not let the app in. A personal Outlook.com calendar connects to TrackHeros the same way a work account does. This answer is for freelancers and consultants whose client invitations land in a personal Outlook.com or Hotmail account, or in a Microsoft 365 account a client issued them, and who want the notetaker on those Google Meet and Microsoft Teams calls. TrackHeros is an AI meeting notetaker that connects every Google and Microsoft calendar you hold, detects the language of each meeting on its own, and keeps every client's notes in a sealed workspace of its own. The account model is on every calendar in one notetaker.

Which Microsoft accounts can I connect?

Personal accounts and work or school accounts, as many of each as you hold, under one sign-up and beside any Google accounts.

Account Connects?
Personal Outlook.com or Hotmail Yes
Microsoft 365 work or school account Yes, though some organisations require an administrator to approve the app first
A work account with no Exchange mailbox No: it has no calendar, and is refused when you connect it

How Google and Microsoft accounts sit together under one sign-up is in connecting Google and Outlook calendars to one notetaker.

What permission does it ask for?

Read-only calendar access and the basics needed to sign you in: openid, email, offline_access, User.Read and Calendars.Read. Nothing reads your mail, files or contacts. Only the account's default calendar, the one Outlook calls Calendar, is synced; other calendars in the same account are not read.

Changes arrive by Microsoft Graph push notification, renewed automatically before it expires, with a full re-read every 15 minutes as a backstop. Disconnecting stops the sync, but Microsoft offers no way for an app to revoke its own permission, so TrackHeros tells you to remove it from your Microsoft account's app permissions yourself.

Should a personal calendar go under a client, or be my own calendar?

It depends on whose meetings it holds.

  • Under a client, if the personal account is where one client sends you invitations. Every meeting on it is filed under that client and joined automatically.
  • As your own calendar, if several clients invite you there. Under Your own calendar in Settings, choose Connect Outlook calendar. Its meetings arrive unfiled, in a private space only you can see, and the bot does not join one until you file it under a client with File it. You can ask TrackHeros to remember the choice for the whole recurring series, so occurrences that arrive from then on are filed automatically; ones already waiting are filed one at a time. File a meeting before the call.

If the same meeting is already on that client's own connected calendar, the client's copy already has the bot: leave the unfiled one where it is rather than filing it. More in your personal calendar and your client calendars.

What if my organisation blocks the connection?

Ask the administrator, or send the bot by link. When a Microsoft 365 organisation requires approval, TrackHeros says so: "Ask your Microsoft 365 administrator to grant consent, then connect again." That message is meant to be forwarded.

Until approval arrives, paste the Teams or Meet link, or the whole invitation, into Send to meeting and pick the client; see joining a Teams meeting without calendar access. Working inside a client's own tenant has a few more wrinkles, covered in using a client-issued Microsoft 365 account.

Questions

Frequently asked

Can I connect a Hotmail account as well as Outlook.com?

Yes. Personal Microsoft accounts on Outlook.com and Hotmail addresses connect the same way, with Connect Microsoft on a client's page or Connect Outlook calendar under Your own calendar in Settings. Only the account's default calendar is read.
