A connected calendar in TrackHeros cannot be moved from one client to another. You disconnect it and connect it again where it belongs. This answer is for freelancers and consultants who attached a Google or Microsoft account to the wrong client, or whose agency work for one client now serves another, and who want their Google Meet and Microsoft Teams meetings to land in the right place from here on. The account model is on every calendar in one notetaker.

Why is there no move button?

Because a client in TrackHeros is a sealed workspace, and everything a calendar has brought in already belongs to it. A finished meeting's transcript, notes, action items and recording are stored under the client it was filed in, and they stay there. A move would have to either carry those across a wall that exists to stop exactly that, or leave them behind silently. Two deliberate steps make the choice visible instead. The wall itself is described in client isolation.

How do I switch a calendar to another client?

In three steps, in this order:

  1. Switch auto-join off for upcoming meetings. On the old client, open each upcoming meeting from that account and turn auto-join off. For a recurring meeting, choose "Every meeting in this series" so one change covers it.
  2. Disconnect the account. On the old client's page, under Connected accounts, disconnect it. Sync for that account stops. Google access is revoked at once; for a Microsoft account, TrackHeros deletes its subscription and tells you to remove the app from your Microsoft account's app permissions.
  3. Connect it under the new client. On the new client's page, choose Connect Google or Connect Microsoft and sign in with the same account. Its upcoming meetings appear under the new client and are joined there.

What happens to the meetings already filed?

They stay with the old client. Past transcripts, notes and recordings are neither copied nor moved, and they remain searchable from the cross-client views, labelled with the old client's name. Upcoming meetings that were already synced also stay there as records, which is why step one matters.

Why would a meeting get two bots?

Because disconnecting does not cancel what is already scheduled, and meetings are never matched across clients. Without step one:

Under the old client Under the new client
The upcoming meeting keeps its bot The sync creates the same meeting again
A new time or a cancellation no longer reaches it It follows the invitation as normal
Its bot joins at the time it last knew Its own bot joins about two minutes early

Two clients, two records, two bots in one call. Inside a single client, the same meeting on two calendars is recognised and gets one bot; across clients it is not, by design. More in the same meeting on two calendars.

Is there a quicker way if I only got the client wrong a minute ago?

Not a different one, but a smaller one. If the account has only just been connected and no meeting has happened yet, there is nothing filed to leave behind: switch auto-join off for the upcoming meetings it brought in, disconnect, and connect it under the right client. Creating the clients first, then connecting each account from its own client's page, avoids the detour next time. More on setting up several accounts in one notetaker for several Google accounts.

Questions

Frequently asked

Can I connect the same account under both clients while I switch?

No. A Google or Microsoft account belongs to exactly one client at a time, and connecting it to a second is refused with “already connected to another client. Disconnect it there first.” Disconnect it from the old client before connecting it under the new one.
