Answer

What happens to recordings when you delete a client?

For freelancers and consultants ending work with a client whose Google Meet and Microsoft Teams calls were recorded in TrackHeros: exactly what deleting the client removes and from where, what happens to backups, how to delete a single recording instead, how to delete the whole account, and which copies deletion cannot reach.

When you delete a client in TrackHeros, its recordings go with everything else that belongs to it: meetings, transcripts, summaries and action items, from every place TrackHeros stores them. This answer is for freelancers and consultants whose Google Meet and Microsoft Teams calls with a client were recorded, and who need to say precisely what is left once the work ends. The wider end-of-contract routine is the client offboarding checklist.

What exactly is deleted?

Everything that belongs to that client, in every store that holds it. The button is "Delete this client", at the bottom of the client's page, and the dialog says what it does: it "erases every meeting, transcript, summary and recording" for the client "from our database, our storage, and the meeting-bot service. Other clients are untouched."

Store What it held for the client After deletion
The database Meetings, transcripts, summaries, decisions, action items Erased
File storage Recordings and stored transcripts Erased
The meeting-bot service Its own copy of each recording and transcript Erased

To confirm, you type the client's name and press "Delete client". The client leaves your lists as soon as you confirm, and the erase starts straight away in the background. Nothing from another client is involved, because nothing from another client was ever inside that workspace, as client workspaces that never mix explains.

What about backups?

Database backups may still contain a copy after the live data is gone, and every backup is deleted within 30 days of the deletion. Deleted content is never restored into a live account and is not used for anything in the meantime. That 30-day figure is the same one printed in the app, the privacy policy and the privacy statements.

Can I delete one recording and keep the notes?

Yes. From the meeting's Recording card, "Manage storage" opens Recording storage in Settings, where "Delete recording" removes that recording alone. The dialog is plain about the limit: "Only the recording is deleted. The transcript, summary, action items and minutes stay. This cannot be undone." Use it when someone asks for a recording to go but the notes are still needed, or when a call should not have been recorded in the first place.

There is no button to delete a single meeting's transcript and notes; deleting the recording, or the whole client, is what exists today.

How do I delete everything at once?

Delete your account. In Settings, "Delete your account" erases every client, meeting, transcript, summary and recording, from the same three stores, and then the account itself. You confirm by typing your email address. Backups follow the same 30-day rule.

What does deletion not reach?

Copies that left TrackHeros. A PDF of the minutes you downloaded, minutes you pasted into an email with "Copy for email", or notes you copied into another tool are yours to delete. Recordings the client made with their own meeting platform live in their accounts, not in TrackHeros.

Two related actions are not deletions. Archiving a client hides it from the views that cover every client and keeps its data. Disconnecting a calendar stops the sync and deletes nothing, as what happens when you disconnect a calendar explains. On a Microsoft account, remove TrackHeros from the account's app permissions yourself, because Microsoft gives apps no way to revoke their own permission.
