Answer

Why does my booking link double-book me?

For freelancers and consultants whose booking link offered a time they were already busy: the usual reasons a booking link double-books you, from a calendar it is not checking to an event marked free, how to find which one it was, and how TrackHeros booking links check every Google and Microsoft calendar you tick and check again when someone confirms.

Almost always because the event it booked over is somewhere the link does not look. This answer is for freelancers and consultants whose booking link offered, and sold, a time they were already busy, usually because their diary is spread across more than one Google or Microsoft calendar. It branches from how to make a 'book time with me' link.

Because a booking link only knows about the calendars it reads, and only about events marked busy. Check these in order:

Cause What happened
The event is in another account A client's Microsoft 365 calendar, or a second Google account, is not checked
The event is on a secondary calendar Many links read only the main calendar of each account
The event is marked free Events marked free do not block time, whether timed or all-day
It was added after the page was opened The visitor saw an old picture of your week, and nothing checked again
Two booking tools Each one's bookings are invisible to the other until they reach a calendar
No buffer Back-to-back is not a double booking, but it feels like one

The first is the usual one for anyone who works for several clients. Your booking link lives in one account, and the client standup lives in another.

How do I find which one it was?

Open the event the booking clashed with and look at three things: which account and calendar it is on, whether it is marked busy or free, and when it was created. If it is in another account, connect that account and tick it on the link; if it is on a secondary or shared calendar, which TrackHeros does not read, move the event to the account's main calendar. If it is marked free, change it to busy, or accept that events marked free are meant to be bookable. If it was created minutes before the booking, the link did not check again at the moment of booking.

Not every tool says. TrackHeros does: when someone confirms a time, it reads the checked calendars again, with your buffers around the slot, and refuses the booking if something has appeared there since the page loaded. The visitor is told the time has gone and picks another.

By checking every calendar you tell them to, across accounts and clients. Each link checks busy time on every Google and Microsoft calendar you tick, and the calendar the appointment is written into is always checked too. A few rules to know:

  • Each account's main calendar is checked. Secondary and shared calendars are not, so keep commitments on the main one or connect the account they belong to.
  • Events marked free do not block. Google events marked free, and Outlook events shown as free or working elsewhere, leave the time open.
  • Your other bookings count, with their own buffers around them.
  • If any checked calendar cannot be read, the page offers no times and you get an alert, rather than times worked out from half your calendars.

The set-up for several clients' calendars is in one booking link across client calendars. If your page shows no times at all, the opposite problem, see why a booking page shows no times.
