If your calendar is on Google and your notes are in OneNote, the two do not know about each other out of the box. This guide is for freelancers and consultants who keep meeting notes in OneNote while their own diary, or a client's, runs on Google Calendar. It covers what OneNote's meeting feature needs, how to create a OneNote page for each Google Calendar event, how to get the notes from a Google Meet or Microsoft Teams call into OneNote afterwards, and how to keep each client in its own section. The OneNote details come from Microsoft's help as of October 2026.
Does OneNote integrate with Google Calendar?
Not directly. OneNote's meeting feature, Meeting Details, inserts the details of Outlook meetings, and Microsoft's page on inserting Outlook meeting details into OneNote says Outlook and OneNote need to be installed on the same computer. It does not mention Google Calendar or any other calendar.
So the route depends on what you want in OneNote:
| You want | Route |
|---|---|
| A page for each meeting, with its date and guests, before it starts | An automation from Google Calendar to OneNote |
| Meeting Details to work for your Google meetings | Show the Google calendar in desktop Outlook, then test it |
| The notes from the call itself | Write them, paste them, or send them from a notetaker |
How does Meeting Details work in OneNote?
It puts an Outlook meeting's details on a new OneNote page. In OneNote, choose Home, then Meeting Details, pick the meeting from today's list or use the calendar icon for another date, and insert it.
What Microsoft's page says about it:
- Versions. It applies to OneNote for Microsoft 365, OneNote 2024, OneNote 2021, OneNote 2016 and OneNote. The page does not mention OneNote on the web or the mobile apps.
- Requirement. Outlook and OneNote installed on the same computer.
- One page per meeting. Each meeting you insert gets a page of its own.
- As text. The details can be edited without changing the invitation, for example to remove invitees who did not come, so the page records who actually attended.
Can Meeting Details see a Google calendar shown in Outlook?
Microsoft's help does not say. It describes the feature for Outlook meetings and nothing else. If your Google calendar already appears in desktop Outlook, try Meeting Details on one of its events before you build a routine around it, and check again after an Outlook update.
How do you create a OneNote page for every Google Calendar event?
With an automation tool. Zapier and Make both connect to Google Calendar and to OneNote: a Google Calendar trigger, such as a new event or an event about to start, followed by a OneNote step that creates a page.
In Zapier, for example:
- Trigger: Google Calendar, on a new event or shortly before an event starts.
- Filter: only events from one calendar, or only events with a Google Meet or Teams link, so focus blocks and lunch do not become pages.
- Action: OneNote, creating a note in the section you choose.
- Fields: map the event title, start time, guests and description into the page.
Zapier's free plan runs two-step Zaps only, so the filter step needs a paid plan; without it, every event becomes a page. In Make, the same scenario is a Google Calendar module followed by OneNote's Create a Page module.
Pick the trigger by when you want the page. Pages created as events are added pile up for meetings that are later cancelled or moved. A page created shortly before the start is there when you open OneNote, and rarely wasted.
How do you get the notes from the call into OneNote?
The page made before the call is a skeleton; the notes come afterwards. There are three ways to fill it, from least to most automatic:
- Write them in OneNote during the call. Taking notes during a meeting you are also running has a marker shorthand that keeps up.
- Paste them in. TrackHeros' Copy for email puts a meeting's minutes on the clipboard, formatted and as plain text, ready to paste into the meeting's page.
- Send them by webhook. On paid plans (pricing), TrackHeros can post each finished Google Meet or Microsoft Teams meeting as JSON to an https address you choose: summary, decisions, action items with owner and due date, topics and attendees. Point it at a Zapier catch hook or a Make custom webhook, then add a OneNote step that builds a page from those fields.
A page built from the webhook might map the fields like this:
Title: {meeting.title}, {meeting.started_at}
Attendees: {attendees[].name}
Summary: {summary}
Decisions: {decisions[].text}
Actions: {action_items[].action} – {action_items[].owner}, {action_items[].due_date}
meeting.started_at is a full timestamp, so format it as a date in Zapier or Make before it goes into a title. Use due_date for the resolved date; due holds the words as spoken ("by Monday") and is often empty. The payload and the set-up in Zapier, n8n and Make are in sending meeting notes to any app. Webhooks by Zapier is one of Zapier's premium apps, so that route needs a paid Zapier plan.
What should a OneNote meeting page hold?
The same few parts every time, so any page can be read in thirty seconds months later. Whether the page is filled by Meeting Details, by an automation or by hand, give it this shape:
Client A – Weekly status – Tuesday 3 November
Attendees: Maya (Client A), Tom (Client A), you
Agenda: from the invitation
Notes one line per point, with markers: D decision, A action, # figure, Q question
Decisions one sentence each
Actions what, who, by when
Open questions still waiting for an answer, and who owes it
Put the client's name first in the page title. OneNote search and the page list both read titles, and "Weekly status" on its own matches every client you have. Keep the decisions and actions at the bottom of the page in the same order every week; that is the part you will copy into the recap, and the part a client will ask about later. How to write meeting minutes turns a page like this into minutes you can send.
How do you keep each client's notes in its own OneNote section?
Give each client a notebook of its own, or at least a section, and route by client rather than by keyword. A rule that files pages by a word in the meeting title will one day put Client A's call into Client B's section, and nobody will notice until the wrong page is shared.
TrackHeros' webhook is set per client: each client has its own address, its own switch and its own log, and one client's meetings cannot fire another client's webhook. Point each client's webhook at its own Zap or scenario, each writing to that client's section, and nothing has to guess. Your OneNote still holds every client's notes in one account, so treat it as you would any place where several clients' material sits; keeping client meeting notes separate covers the habits.
Where does TrackHeros fit in?
TrackHeros is an AI meeting notetaker that connects every Google and Microsoft calendar you hold, recognises close to 100 spoken languages on its own, writes the notes in nine of them, and keeps every client's notes in a sealed workspace of its own. It joins the Google Meet and Microsoft Teams calls on your clients' calendars and writes a summary, decisions and action items with owners and dates. It has no OneNote connection; on paid plans, the per-client webhook is how its notes reach OneNote. Because it reads Google and Microsoft calendars directly, a diary split between Gmail and Outlook does not have to be merged first; see connecting Google and Outlook calendars to one notetaker. The minutes themselves are on the meeting minutes page.
Questions
Frequently asked
Does OneNote sync with Google Calendar?
Not by itself. Microsoft documents OneNote's Meeting Details only for Outlook meetings, with Outlook installed on the same computer. To link Google Calendar and OneNote, use an automation tool such as Zapier or Make, which can create a OneNote page when a Google Calendar event is added or is about to start.
Can I use Meeting Details if my Google calendar shows in Outlook?
Microsoft's help does not say either way; it describes Outlook meetings only. If your Google calendar already appears in desktop Outlook, try Meeting Details on one of its events before you build a routine around it.
Do these routes need a paid Zapier plan?
Both Zapier routes here do. Webhooks by Zapier, which receives TrackHeros notes, is one of Zapier's premium apps, and Zapier's free plan runs two-step Zaps only, so the calendar recipe's filter step needs a paid plan too. Make is the alternative. Check either tool's current plans before you build on it.
Can TrackHeros write straight into OneNote?
No. TrackHeros has no OneNote connection. On paid plans it sends each finished meeting to a web address you choose, one per client, and Zapier or Make turns that into a OneNote page. On any plan you can copy a meeting's minutes and paste them into a page by hand.
