How to get meeting notes into a spreadsheet automatically

For freelancers, consultants and project leads who copy facts from meeting notes into a spreadsheet by hand: how TrackHeros fills a table from each Google Meet and Microsoft Teams call, what the two CSV downloads contain, how to open them in Excel or Google Sheets, and what the download does not do.

Plenty of meeting notes end up as rows in a spreadsheet: candidates and their salary expectations, change requests and their cost, deals and their stage. Usually somebody copies them in by hand after each call. This guide is for freelancers, consultants and project leads who would rather the rows filled themselves from their Google Meet and Microsoft Teams meetings. It covers how TrackHeros builds the table, what the two CSV downloads contain, how to open them in Excel or Google Sheets, and what the download does not do.

Why put meeting notes into a spreadsheet at all?

Because a spreadsheet answers questions minutes cannot. Which candidates asked for more than the budget? Which change requests are still pending? How many times has the go-live date moved? Minutes record one meeting at a time; a table lines the same facts up across all of them.

The cost has always been the copying: rereading each set of notes, finding the figure, typing it in, and hoping the version in the sheet is the latest one. Copying is also where errors creep in. A figure taken from last week's notes instead of this week's, or one candidate's name spelt two ways, and the sheet quietly disagrees with the meetings it came from.

How does a meeting become rows in a table?

You define the table once, and TrackHeros fills it after every meeting it reads. The table is a tracker: columns with a type and a one-line description each, and a choice of which meetings feed it.

TrackHeros is an AI meeting notetaker that connects every Google and Microsoft calendar you hold, recognises close to 100 spoken languages on its own, writes the notes in nine of them, and keeps every client's notes in a sealed workspace of its own. After a meeting in a tracker's scope is summarised, TrackHeros reads it against the columns and fills or updates the rows. There are two shapes: a new row for every meeting, like a standup log, or the same rows updated meeting after meeting, like a list of candidates where a later interview updates the candidate's row instead of adding a second one.

Every value cites the transcript lines it came from, and a value with no line behind it is dropped. New and changed values wait for your review by default. Starting a table is covered in turn meeting notes into a table, and the column design in how to design the columns of a meeting tracker.

What do the CSV downloads contain?

There are two: the table as it stands, and its history. Both are CSV files, and each holds one tracker of one client and nothing else.

File One line per What it holds
The current table Row Every column's current value, plus when the row last changed and how many times
The full history Value a cell has held The row and column, the value, what kind of change it was and whether it was applied, the meeting and its date, the quote, the moment in the meeting, a link back to the transcript, who typed it if a person did, and when it was recorded

The current table is what you paste into a status report. The history is what you open when somebody asks how a number got where it is. A tracker that runs across all your clients keeps a separate table for each client, and each one downloads on its own; nothing from Client A rides along in Client B's file.

How do you open the download in Excel or Google Sheets?

In Excel, open the file directly. In Google Sheets, use File, then Import, then Upload, and choose whether to replace the current sheet or add a new one. Either way the columns arrive as they are in the tracker.

A few things about how the cells are written:

  • Text is UTF-8 with a marker Excel recognises, so accented and non-Latin text, a French name or a value written in Arabic or Hindi, opens as written rather than as garbled characters.
  • Lists sit in one cell, items separated by semicolons; lists of people are separated by commas.
  • Money is the amount followed by its currency code. To add figures up, split the cell into amount and currency first: Text to Columns in Excel, or the SPLIT function in Google Sheets.
  • A text cell that starts with =, +, - or @ gets a leading apostrophe. These cells hold what other people said, and a spreadsheet would otherwise try to run them as a formula.

Is there a live sync to Google Sheets?

No. The download is a snapshot of the table at the moment you take it. The live copy is the tracker inside TrackHeros, which updates after each meeting; to bring a sheet up to date, download again and replace its contents.

Edits you make in the downloaded sheet stay in the sheet and never travel back. If a value is wrong, correct it in the tracker instead: a cell you edit there by hand is protected, and later AI changes to it wait for your review rather than replacing it. The next download then carries the correction.

When should you use the history file instead of the table?

When the question is how a value changed, not what it is now. The history file has a line for every value a cell has held, with the quote and the meeting it came from.

Take a go-live date that moved twice. The table says 2 April 2026. The history says 3 March 2026, then 17 March, then 2 April, each with the date of the meeting, the words used and a link to that moment. That is the file to attach when a client's new manager asks why the date slipped, or to keep with your own records of a project. In the spreadsheet, filter it by row and column to read one value's story from top to bottom, or sort it by meeting date to see what each meeting changed. The same history is visible per cell inside the app; see a history of every change, with the quote.

Is the CSV download on every plan?

No. Which plans include it is on the pricing page. The table, its history panel and the review queue are inside the app either way; the download is what takes a copy out of it.

Once downloaded, the file is yours to keep and is outside TrackHeros. Deleting a tracker deletes its table and every value and quote in TrackHeros, deleting a client deletes its trackers, and how backups are handled is in the privacy statements. A copy you downloaded to your own computer is not something TrackHeros can reach, so file it as carefully as the client's other documents.

What should you put in a meeting spreadsheet?

Facts you will look up, said aloud in meetings. Good columns are short and specific: a status, an owner, a date, a figure with its currency, a list of blockers. Poor columns ask for judgement nobody voiced, or duplicate the minutes in a narrower box.

The six templates are a quick start: Project tracker, Change requests, Interview scorecard, Sales discovery, Decision log and Standup log. They are described in tracker templates for freelancers. Values in meetings held in Spanish, German or Hindi are read through the same transcript as the notes, with text written in the notes' language; see languages. The downloads are covered briefly in can I export a tracker to CSV?

Questions

Frequently asked

Can TrackHeros update a Google Sheet automatically after each meeting?

No. The table updates itself inside TrackHeros after each meeting, but there is no live connection to Google Sheets. Download the CSV again and replace the sheet's contents when you want the latest version.

Why does a cell in my export start with an apostrophe?

Because its text began with a character a spreadsheet treats as the start of a formula, such as an equals sign. Cells hold what people said in a meeting, so TrackHeros adds the apostrophe and the spreadsheet shows the words instead of running them.

Do the quotes come with the export?

In the history file, yes. Each value comes with the meeting it came from, its date, the words used, the moment in the meeting and a link back to the transcript. The current-table file holds the current values, with when each row last changed.
