Answer

Does a meeting tracker guess values nobody said?

For anyone wary of an AI filling a table from their Google Meet or Microsoft Teams meetings: how TrackHeros keeps a tracker to what was actually said, what happens to columns nobody mentioned, why a cited value can still need checking, and which changes always wait for a person.

A table filled by an AI is only useful if every cell is something somebody actually said. This answer is for freelancers, consultants and anyone who reads a tracker before acting on it: how TrackHeros keeps the values it takes from Google Meet and Microsoft Teams meetings tied to the transcript, and what is still left for you to check. The feature itself is on trackers.

How does TrackHeros stop a tracker inventing values?

By making every value point at the transcript. When TrackHeros reads a meeting for a tracker, it is told to fill only what the meeting actually says, and it must name the transcript lines each value comes from; a value with no line in the transcript is dropped before it reaches the table.

The quote shown beside the value is then rebuilt from the stored transcript. The model points at lines. It never writes the quote you see.

What happens to a column nobody mentioned?

It stays empty. A meeting that never touched the budget leaves the budget cell as it was, and a first interview in which no salary figure was said leaves the salary column blank rather than filled with an estimate.

Two column settings help. A yes / no column has a third answer, unclear, so a hedged reply is not forced into yes or no. A column set to "fill by hand only" is never filled by the AI at all, which suits anything you would rather judge yourself, such as a recommendation.

Can a cited value still be wrong?

Yes. A citation shows where a value came from; it does not make the reading right. A name can be misheard, or a figure discussed as one option can be taken for the one that was agreed.

That is why values wait in a review queue by default, grouped by meeting. You accept them, correct and then accept them, or reject them, and a rejected value does not come back when the same meeting is read again. Every value links to the transcript at the moment it was said, and the recording jumps there, so checking one takes seconds; see where a tracker value comes from.

What always waits for a person?

Even on a tracker set to apply confident values on its own, four kinds of change are held for you. Values the model is unsure of wait as well.

  • Removing an item from a list, such as a blocker said to be resolved.
  • A value that contradicts a column set to keep the first value.
  • A change to a cell somebody edited by hand.
  • A new row that may be a duplicate of an existing one.

Each reason is explained in why is a tracker value waiting for review?, and the case for reviewing first is made in review before a value changes.

Do the meeting notes follow the same rule?

Yes. The summary says when a transcript is unusable rather than inventing one, and an action item's owner is never guessed. A tracker reads the same transcript the minutes are written from, and holds every cell to what that transcript says.
