What is a meeting tracker? A table that fills itself from your meetings

For freelancers, consultants and anyone with several clients who keeps re-reading old minutes to find one figure: what a meeting tracker is in TrackHeros, the two shapes its table can take, how each value cites its Google Meet or Microsoft Teams meeting, how it differs from minutes and action items, and the three ways to start one.

A meeting tracker is a table that fills itself from your meetings. You decide what the table holds; TrackHeros reads each Google Meet or Microsoft Teams meeting you point it at and fills in the cells. This answer is for freelancers, consultants and anyone with several clients who keeps opening old minutes to find one date, one figure or one decision. TrackHeros is an AI meeting notetaker that connects every Google and Microsoft calendar you hold, recognises close to 100 spoken languages on its own, writes the notes in nine of them, and keeps every client's notes in a sealed workspace of its own. The full feature is on trackers.

What does a meeting tracker do?

It keeps a table current from what is said in your meetings. You define the columns, give each one a type and a one-line description of what belongs in it, and choose which meetings feed the table; after each of those meetings is summarised, TrackHeros reads it and fills or updates the rows.

The point is where you look afterwards. Instead of re-reading six sets of minutes, or asking the assistant the same question every week, you open the table. "What did the candidate ask for?" and "when is go-live now?" become a cell, not a search. Meetings held in French, Hindi or any other of the spoken languages on the languages page are read through the same transcript as the notes.

What does a meeting tracker look like?

It takes one of two shapes, chosen when you create it.

Shape One row is Example
A new row for every meeting One meeting A standup log: date, attendees, done, planned, blockers
The same rows, updated meeting after meeting One thing, named by a key column A project tracker: one row per piece of work, with status and deadline

In the second shape, a later meeting that mentions the same feature, candidate or deal updates its row rather than adding another. A go-live date that moves at every standup stays one cell, and that cell keeps every earlier value.

Columns come in ten types: text, number with a unit, money with a currency, date, status with options you define, person, list of people, yes / no / unclear, list, and link.

How is a tracker different from minutes and action items?

Minutes record one meeting, and action items record what one meeting committed someone to do. A tracker records the state of something across many meetings.

The minutes of a weekly call tell you what was said that week. The action items tell you who promised what by when. A tracker tells you where each piece of work, candidate or request stands now, and how it got there. The longer comparison is in tracker or action items. A tracker here is a table inside TrackHeros, not an issue tracker like Jira or Linear.

Can I trust a value a tracker wrote?

You can check every one. Each value records the meeting it came from, who said it, when in the call, and their words; the model has to point at the transcript lines behind a value, and a value with no line is dropped.

The quote you see is rebuilt from the stored transcript, not written by the model. By default, new and changed values wait in a review queue until you accept them. More in where a tracker value comes from.

How do I start a meeting tracker?

There are three ways: pick one of six templates, describe what you want in a sentence and edit the draft, or start blank. The templates are a project tracker, change requests, an interview scorecard, sales discovery, a decision log and a standup log.

Before saving, you can preview the definition on one recent meeting. When you create it, you can have it read your recent past meetings in scope, oldest first, so the table starts with history rather than empty. How many trackers you can have, and whether your plan lets you design your own columns, is on pricing.
